The business problem
A recently acquired driving school knew its monthly revenue but could not see how enquiries turned into enrolments, how classes and instructors were being used, or which services were worth expanding.
Objective
Document the current state, define the data the business needs to capture, establish performance measures and build evidence-based growth recommendations the owner can act on.
Discovery
- Structured discussions with the owner about current pressures and priorities.
- Observation of enquiry handling, scheduling and lesson delivery as they actually happen.
- Review of the revenue information already available.
- Identification of the enquiry, enrolment and service data that is not being captured at all.
- Agreement on which roles would own each part of future data collection.
Analysis
- Customer enquiry and conversion analysis from first contact to enrolment.
- Data-gap analysis against the decisions the owner needs to make.
- Instructor utilisation and class-capacity review.
- Cost-driver identification and service-level revenue review.
- Customer-segment and growth-opportunity assessment.
Recommendations
- Track inbound enquiries and conversion, and record the reasons prospects do not enrol.
- Maintain structured callback lists rather than relying on memory.
- Capture referral and marketing sources against every enrolment.
- Monitor class fill rate, instructor utilisation and cancellation rates.
- Review revenue and cost by service line before adding new offerings.
- Develop adult-learner outreach and partnerships with schools and community organisations.
Outcome
A measurement and improvement framework has been proposed and forms the basis of the next phase. Implementation is ongoing and no performance results are claimed at this stage.
Business value
Moves the owner from intuition-based decisions towards evidence, with a prioritised view of where growth is most likely to come from.
Small businesses usually need simple data discipline long before they need new technology.
